The Senior Executive / Executive - Administration will be responsible for ensuring the smooth and efficient functioning of administrative operations, including travel and accommodation management, facilities and office administration, vendor coordination, employee support services, and workplace infrastructure management, while maintaining cost efficiency, service quality, and compliance with organizational policies.
He/she will be in charge of:
Administration & Employee Support
• Manage office supplies, stationery, consumables, and inventory levels.
• Support onboarding activities, including workstation readiness, access cards, seating allocation, and employee welcome arrangements.
• Address employee concerns related to facilities, transportation, travel, accommodation, and workplace services.
• Maintain administrative records, agreements, licenses, and service contracts.
• Coordinate employee engagement initiatives, official events, leadership visits, and office functions.
Compliance, Authorities Management & Safety
• Ensure compliance with company administration policies, statutory regulations, and workplace safety guidelines.
• Liaise with building management, government authorities, and regulatory bodies for licenses, permits, and approvals.
• Coordinate fire drills, emergency preparedness activities, safety inspections, and audit requirements.
• Maintain records related to facility audits, vendor compliance, statutory requirements, and safety certifications.
• Support implementation of health, safety, and environmental (HSE) standards across the workplace.
Cost Control & Reporting
• Track administrative expenses and support budget adherence.
• Identify opportunities for cost optimization in travel, accommodation, vendor management, and facility operations.
• Prepare MIS reports on administration expenses, vendor performance, facility utilization, and key service metrics.
Facilities & Office Management
• Ensure smooth functioning of office facilities, including housekeeping, security, cafeteria, pantry, and maintenance services.
• Manage housekeeping operations and workplace hygiene standards across office premises.
• Coordinate preventive and corrective maintenance of office infrastructure, equipment, utilities, and amenities.
• Conduct regular workplace inspections to ensure safety, cleanliness, and service quality.
• Manage seating arrangements, meeting rooms, workspace allocation, office relocations, renovations, and infrastructure upgrades.
Travel & Accommodation Management
• Coordinate travel arrangements including flight, train, cab, and hotel bookings for employees and visitors.
• Manage travel requests in line with company policies and budgets.
• Arrange accommodation and transportation for new joiners, business travelers, leadership visits, and guests.
• Liaise with travel agencies, hotels, and transport vendors for bookings and issue resolutions.
• Maintain travel records, invoices, and expense documentation for audits and reimbursements.
Vendor Management
• Manage and coordinate with facility, travel, transport, housekeeping, security, and maintenance vendors.
• Monitor vendor performance and compliance with agreed service levels.
• Obtain quotations, compare costs, and support procurement of administrative requirements.
• Verify and process vendor invoices and ensure timely payment coordination.
• You have 6+ years experience in a similar function
• You are a graduate in any discipline.
• A degree, diploma, or certification in Business Administration, Facilities Management, Hospitality Management, Operations Management, or related fields will be an added advantage.
